Custom CRM development

Off-the-shelf CRMs ask your team to work their way. A custom CRM keeps your clients, jobs, hours, invoices and leads in one place, arranged the way your business actually runs.

Small teams rarely need every feature a big CRM sells. They need the client record, the work in progress, the hours and the money to line up without copying anything twice. We built our own CRM for exactly that reason, and we build the same kind of system for other businesses.

  • You pay for features nobody uses, and still keep a spreadsheet on the side.
  • Hours, invoices and project notes live in different apps that do not talk to each other.
  • Leads from your website land in an inbox instead of a pipeline.
  • Reports never quite answer the question you are asking.
  • Client records

Contacts, notes, documents and history for every client, with duplicate warnings and a merge tool.

  • Projects and time

Drag-and-drop boards plus a timer that logs hours straight to the right client.

  • Invoices and payments

Invoices that send in one click and match payments to clients automatically.

  • Leads from your website

Website forms feed the sales pipeline directly, so no inquiry sits in an inbox.

  • A client portal

Clients sign proposals, answer questions and share files from one private link.

  • An AI inbox assistant

New emails are matched to clients, with a suggested reply, task or note.

A CRM is only useful if the team actually keeps it up to date. When it matches the way people already work, they do. When it fights them, the spreadsheet comes back.

A custom CRM can also replace several subscriptions at once, and it grows with the business instead of charging per seat for features you do not need.

The price of a custom CRM depends on what it replaces. Moving records in from spreadsheets or an old CRM, connecting invoicing and email, and adding a client portal each add work, and all of it is in the fixed price before anything starts.

Most CRMs are built in steps, starting with client records and the daily work, then adding billing, website leads and automation as the team uses it. Our own CRM went into daily use in March 2026 and has added features steadily since.

FAQ

Common questions

How much does a custom CRM cost?

It depends on what it replaces and what it connects to, such as invoicing, email or a client portal. You get a fixed price before any work starts, and one custom CRM can replace several subscriptions at once.

Can you move our data from our current CRM?

Usually. Most CRMs export to spreadsheets, and an import can check for duplicates as records come in, like the duplicate warnings and merge tool in our own CRM.

Is a custom CRM secure?

It is built with individual logins, access limited to each person's own data where it should be, and regular security reviews. Our own CRM gets a weekly security review.

Can it connect to email and invoicing?

Yes. Our CRM reads the inbox to suggest replies and sends invoices through Square.
